Universal Settings: Hours Tab

This article will cover the topic of configuring system wide hours for the room management products (Spaces and D!bs).  It will also cover the configuration workflow for Holiday/Emergency Closings feature for the event and room management products (SignUp, Spaces, and D!bs).   

The System Wide hours feature creates an easier workflow for configuring standard and alternate hours schedules for all locations and rooms/spaces.  This feature enables the configuring of the hours from one place vs editing each Location's hours.  Libraries with multiple locations and rooms identified this as a key pain point in managing the hours for their system.    

To access the System Wide hours feature, select the Settings menu in the side navigation menu.  Select the Location Setup sub-menu.

Universal Hours

  • Select the Edit button on "Universal Settings" in the Locations list. 
  • Select the Hours tab on the Edit Universal Settings page.

 

Adding/Editing Universal Settings Hours

  • Click on the pencil "Edit" icon on the top-right above the hours table to make the hours editable.
  • Enter the Open and Close times on the days desired
  • When you are finished, select the "Save" button at the top-right above the hours table

Copying Hours from Universal Settings to Locations/Spaces

After you have input your alternate hours, you can copy those hours to a selection of locations and spaces.

  • While in the alternate hours section, select the "Copy To" icon at the top-right of the alternate hours chart, to open the copy hours dialogue pop-up window.
  • Select the locations and/or rooms in the location you wish to copy the universal hours to and select "Yes"

Add/Edit Universal Alternate Hours

"Alternate Hours", is a way to go about temporary closing your library due to holidays, or to shorten your hours due to the summer season, etc. 

  • From the "Location Setup" list view, choose the pencil "Edit" icon to the right of the location or space name you wish to add or edit Alternate Hours for.
  • Choose the "Hours" Tab from the top-right of the edit page of the location or space you chose to edit
  • Now select the "Add New" button to the right of the "Alternate Hours" tab and choose a start and end date to access the alternate hours edit cell
  • From the hours table cell, you can enter open and close times, or just leave the day marked as closed
  • To edit alternate hours that you already have recorded, you can select the edit button icon to the far right of the alternate hour listing

Copying Alternate Hours from Universal Settings to Locations/Spaces

Just like standard hours, after you have alternate hours input, you can copy those hours to a selection of locations and spaces.

  • While in the alternate hours section, select the "Copy To" icon at the top-right of the alternate hours chart, to open the copy hours dialogue pop-up window.
  • Select the locations and/or rooms in the location you wish to copy the universal hours to and select "Yes"

Holiday/Emergency Closings

A holiday or emergency closing can be scheduled from the Hours tab in Universal Settings.  The closing will override existing standard and alternate hours schedules for the selected locations and rooms/spaces within the location(s). 

  • Select Add New in the Holiday/Emergency Closings section
  • Enter the Closing Name
  • Select the Start Date and End Date
  • After selecting the save button, choose the desired locations for the closing in the pop-up dialog
  • Select Yes to complete the workflow

 

Schedules that are different from the system wide/Universal standard and/or alternate hours schedules can be applied by editing the specific location(s) and/or spaces.  http://kb.demcosoftware.com/article.php?id=598
