Understanding the Room Reservation Maintenance Page

Room Reservation Maintenance is the basic home page for the Room Reserve program.

There are six primary components to the page.



Reservation Maintenance (first on the left):

Room Requests/Reservations
Shows all unarchived room reservations. From this screen, existing reservations can be edited and modified.
Mediated Reservations*
Allows staff to reserve a room for a patron (for rooms requiring approval)
Unmediated Reservations*
Allows staff to reserve a room for a patron (for rooms not requiring approval)
Equipment Request/Reservation
Shows all unarchived equipment reservations. From this screen, existing reservations can be edited and modified.
In-House Reservation
Allows staff to reserve equipment for a patron
Patron Reservation Lookup
Search for a specific patron by library card number, confirmation number, name, phone number, email, organization or time range.
*Note: Depending on System Settings, these options may be combined and appear as "In-House Reservations"

Setup (Note: This is only visible in individual branch mode. If you can't see the setup options, change out of All Branches mode)

Equipment Configuration
Enter new pieces of equipment into the system. This enables them to be reserved by patrons.
Room Configuration
Enter and configure rooms into the system. This enables them to be reserved by patrons.

Settings (Note: In All Branches Mode, only System Configuration and Settings is visible. To see other options enter an individual branch.)

System Configuration and Settings
Allows you to customize the system in terms of look, feel, security, branch information, system messages and emails, and system rules.
Fixture List
Add a new Fixture. Fixtures are equipment that are attached permanently to rooms, rather than reserved separately.
Location List
Add a new location to the system. Locations can then be configured into rooms.
Group Type/Category List
Group Types refer to the ways you can classify patrons to allow for specific pricing plans for different types of groups.
Internal Classification List
Allows you to leave an internal note on a reservation indicating the condition of the room. This classification stays with the patron record allowing you to indicate people to whom you don't want to allow in the future.

In the middle of the page, there is a search box. You can search all reservations filtered by the following criteria:

Pending Requests
Searches only requests that have yet to be confirmed.
Pending Payments
Searches only requests with outstanding balances.
Archived Reservations
Searches only reservations already sent to the archive
All Reservations
Searches all reservations.

Below the Search box is the Quick View. This will take you instantly to the following categories for either Rooms or Equipment:

Pending Requests
Shows all requests still awaiting official confirmation.
Pending Payments
Shows all requests with outstanding balances.
Accepted Reservations
Shows all requests that have been approved.

Finally, on the right side, you'll find Reports.

Requested Equipment
Create a customizable report containing relevant equipment that has been reserved.
Requested Room Setups
Create a customizable report containing a list of reserved rooms with setup information.
View/Print Room Schedules
Create a customizable, easy to print schedule by room(s).
Room Usage Report
Create a report with usage statistics for each or all room(s).
Room Usage: Reservations vs. Events
Create a report comparing how often each room was reserved for events verses by patrons.
Room Utilization Report
Create a report comparing total hours a room is available against how many hours the room is actually used.
Requested Bookable Equipment
Create a customizable report containing a list of reserved equipment.
View/Print Bookable Equipment Schedules
Create a customizable, easy to print schedule by equipment.
Bookable Equipment Usage Report
Create a report with usage statistics for all equipment
Equipment Utilization Report
Create a report comparing total hours equipment is available against how many hours the equipment is used.
