There are a number of different ways that Spaces utilizes email to contact patrons throughout the software's various work flows. Spaces combines the convenience and security of email to update patrons on many of the different features that it provides. Below is a list of most of the ways in which Spaces notifys the patron through it's various work flows. (The emails not listed would be primarily for ecommerce and will be covered separatly in an ecommerce article)
1. EMAIL SENT AT ACCOUNT CREATION: First and possibly foremost, email is required to create an account in Spaces. Without a valid email address, patrons will NOT be able to create an account and utilize the program. The program will flash a red error notification if an incorrect email address is provided when creating an account or if the same email address already exists within the system. Once the account has been created, a modal will pop up asking the patron to go into their email and confirm their account. (below)
Here is an example of what the account creation email looks like from the patron end.....
*IMPORTANT...ONLY UNTIL THE PATRON HAS CONFIRMED THE EMAIL REQUEST, WILL THEY BE RECOGNIZED IN THE SYSTEM AND ABLE TO RESERVE A SPACE.
Once the patron has confirmed the request, they have now created the account in Spaces and a new modal pops up letting them know....
2. EMAILS ARE SENT UPON SPACES RESERVATION REQUEST: An email notification is also sent out to the patron upon request of a room. The email looks similar to this below.
And again, another email is sent upon approval of the reservation.....note that additional text can be added by staff to this email (as highlighted in yellow below) to give specific instructions/information for this particular patron.
3. UPON ORGANIZATION REQUEST: Email is sent out upon submitting a request to join an organization byt the patron and also, an email is sent out upon approval or denial of that request. Please see the examples below.
