Viewing an Existing Reservation in Spaces

The Reservation List page allows staff to view reservations that have been made in the system. You can access this from the Spaces Admin Homepage.

Along the left side bar there are three options to pre-filter reservations.

PendingThese are reservation requests that have not yet been approved by staff. The number of requests that are pending approval is noted in red. Users can click the "See More" link below the location and space name to view the responses to reservation questions, the desired layout, and any equipment that has been requested.  Staff can also review the complete information on a reservation by selecting the "View" button and decide whether to approve or deny a pending reservation. A modal will appear when the user selects the "Approve" or "Deny" button that will have a text input area.  The text that is input into this field will be appended to the approval or denial email that is sent to the patron.  It will also appear on the reservation ticket on both the patron and staff view.  Please note at this time there is a character limit of 250.  A user can also cancel the request. Cancelled reservations can then be restored and changed to a different time.
 
Active- These are reservations that have been approved.  The list defaults to displaying the current day's schedule.  You can advance the view by selecting the desired date or by selecting the "Next Week" button.  A Spaces reservation is notated on the active list by an orange bar that spans the duration of the reservation.  If a staff user mouses over the orange bar a tool tip will display the patron and/or the organization that has the reservation.  A staff user can also click on the orange bar and see more information about the reservation.  After expanding the view, a user can view the full details, edit, copy, or cancel a reservation.  If payment is required and the patron has not paid for the reservation, a reminder email can be sent by selecting the "Payment Reminder" button.
 
*Please note for multi-module customers SignUp events display on the active list with a blue line.  Selecting the "See More" link displays the basic event ticket information.  To engage the SignUp workflow, a user can select the "View" button and be directed into the SignUp module.
 
 
Inactive-  These are approved reservations that have expired, reservations that are denied, cancelled reservations or ignored by staff. Within this workflow a user can update denied reservations to be approved and cancelled reservations can be restored and edited.
 
 
Along the top of the lists, you can filter results by date, keyword, location, or status.  After selecting the desired filters, select the "Search" button to retrieve the results.  If a filter has been applied then the box will change from light gray to a darker gray.  (Illustrated in the image below)
